Event Summary

AEIWellness brings to you the world’s first IWWCE based on the complete 10 Wholistic Wellness Pillars affecting human well-being and lifestyle. IWWCE will connect you to natural and preventive health practices from around the world!

At this IWWCE we will bring together local and international speakers, many of whom will bring their disruptive solutions to wellness and cutting-edge wellness products and services. There will be health professionals, 10 health and wellness pillar practitioners, outdoor preventive health and tourism operators, medical tourism operators, retirement and aged care home providers, healthy home and office experts, government officials from health, tourism and agricultural sectors, modern cutting-edge health and technology providers, potential investors for health and wellness in Sabah, local and international travel agencies and NGOs of all related industries. These and all of ASEAN, Asia and global citizens as well as students eager to Learn, Experience, Associate & Practice (LEAP) wholistic wellness, will all congregate in “One Pool” with educators, wellness and health experts from around the world.

This year’s theme, ‘Sustainable Wholistic Wellness Living’ will bring forth ideas and solutions for sustainable wellness living and working for the mid 21st century and beyond. Alongside the conference and masterclasses, there will be free workshops, talks and consultations from experts on the 10 wellness disciplines and practices.

  1. Booth price reflected above, includes DBKK (local) exhibitor event fee. Please note prices will be subjected to additional 8% SST, which should be effective 1st April 2024.

  2. Amounts displayed in USD serves as an estimate. Actual amount will be reflected upon payment following prevailing exchange rates. All transactions will be made in Malaysian Ringgit (MYR). All amounts shown above are not inclusive of the 8% SST yet.

  3. The Booth rental is packaged for 3 days (Friday, 7th to Sunday, 9th May 2024). Exhibitors are required to attend all 3 days of the event.

  4. Booth space is sold per lot. If bigger space is required, please request for 2 or more lots upon registration.

  5. Each booth will be provided with 4pcs of Exhibitor tags. Extra tags can be requested and purchased at RM10.00 each. Please fill in the relevant request form available under Exhibitor Order Forms & Documents tab.

  6. Exhibitors are fully responsible to design and decorate their own rented booth space in line with their own registered products/services. For any special designs or customised designs that require the support of external contractors, Exhibitors may refer to our event’s authorised IWWCE Event Contractor (Instant Exhibitions (Sabah) Sdn Bhd). Please find their details in the Contact Information tab above.

  7. Exhibitors are encouraged to bring their own additional fixtures and furniture. However, all fixtures, products and decorations must be contained within the allocated booth space and must not interfere with walking pathways. Walking pathways must be clear at all times.
Creative Space Booth Exhibitors
  1. All booth designs MUST be submitted to the Organiser & Official Contractor for approval.

  2. All structures can only go up to a maximum height of 4 metres.

  3. All creative space booths are REQUIRED to place a layer of PVC/plastic sheet before putting a layer of plywood underlay for the space taken.

  4. Exhibitors whose booths are adjacent to another booth (booths that are not listed as island booths) are to ensure that they provide their own wall panel. No Exhibitor will be allowed to take advantage of their exhibiting neighbour’s back/side wall.

  5. All booth designs submitted should include the following
    1. Perspective view and top/front/right & left side/rear elevation
    2. Layout plan with electrical and phone markings (if any)
    3. Dimensions of the structure, that is, Length/Width/Height

Booth Branding, Presentation & Display
  1. Exhibitors are required to disclose and register the main Brand of their business/practice. Only the registered Brand will be presented on the booth/space.

  2. Any booth sharing must be notified upon registration and is subject to the Organiser’s approval. Unauthorized booth sharing will result in the forfeiture of the refundable deposit

  3. Booths must be manned and always attended by authorised personnel with Exhibitor Tags (from start to the end of day).

  4. Exhibitors are prohibited from selling products or services that are not connected with the promotion of sustainable healthy, wellness and happy living and the registered products/services.

  5. Non-food exhibitors are prohibited from selling any type of food and beverages.

  6. Food exhibitors are not allowed to do any cooking in the Exhibition Hall. Only prepacked food is allowed. Food truck sellers will be invited to sell food and beverages in the designated open space area.

  7. Exhibitors are prohibited from selling any counterfeit items, tobacco, alcohol, drugs, weapons or any other illegal and/or dangerous items.

  8. Exhibitors must ensure that their booths are presentable and always well maintained. Boxes or any other storage items should be kept hidden under the table or returned to their own vehicle after setting up and shall not be placed on walkways or any empty space of the event area.
Booth Selection & Floorplan
  1. Booth location confirmation will be on First Come First Serve basis after full payments are made. Advance full payment for booth rental will be required to confirm the booth location. Otherwise, booth location will be allocated by the Organiser. If a specific location is preferred, please place your confirmation in advance.

  2. Exhibitors must comply with their own designated booth location and are not allowed to change location without prior consent from the Organiser.

  3. Floor plan is a “working draft” and changes may be made up until one (1) week prior to the event. However finalised floor plan of the entire exhibition hall will be shared when available. Every effort will be made to ensure the accuracy of all information contained on the Floor Plan.
Exhibition Hall & Program
  1. Stage and seating area of (50 pax) are provided in the Exhibition Hall itself.

  2. Launching Ceremony – Friday 7th June 2024.

  3. Showcasing of products & services by Exhibitors from 10 Wholistic Wellness Pillars at 10am – 6pm daily from 7th – 9th June 2024. Free entrance for all visitors, whom would expect and love to LEAP into knowledge, practices and skills from all of the Exhibitors in the Hall.

  4. Local Government officials, invited VVIPs, local Ministries, Delegates and speakers for Conference would be visiting Exhibitors on 7th June 2024.

  5. Exhibitors’ seminars/workshops & Yoga Fest throughout the 3 days (7th – 9th June 2024). Exhibitors who would like to conduct seminars/activities/workshops, may register with the Organiser directly. Please find the relevant form in the Exhibitor Order Forms & Documents Separate terms and conditions are applicable.

  6. Exhibition hall emcee for the whole 3 days and music to entertain visitors and everyone in the hall.

  7. Highest Voted Booth’ Contest starts on 7th June 2024 and ends on 8th June 2024. Winners of this Contest will be announced late afternoon on the 9th June 2024. Winners will be based on votes by the visitors – this creates the motivation for Exhibitors to present themselves better to the visitors and to the visitors, such ‘voting opportunity’ lead to visitors’ engagement and feeling good and important for the event as well. For those Exhibitors who would like to offer Grand Prizes, kindly contact the Organiser directly.

  8. Lucky Draw for customers on all 3 days of the event for any purchase of RM50.00 per ticket. Exhibitors to issue LD tickets to their customers. For those Exhibitors who would like to offer Lucky Draw Prizes, kindly contact the Organiser directly.

  9. Closing Ceremony – Sunday 9th June 2024.
Registration Process Flow
  1. Fill in the registration form and declare your main brand of business/practice.

  2. Your nature of business/organization should fall on one of the 10 pillars of wholistic wellness.

  3. Submit the registration form.

  4. Upon completion of the Vendor Registration form, a Booking & Publicity Deposit is collected to confirm the commitment of Exhibitor’s booking of the booth space.

  5. A copy of the form submitted will be automatically delivered to the email address provided in the form. This is not an indication of confirmation as Exhibitor.

  6. Exhibitors’ Registrations will be screened through to ensure compliance to the theme and pillars of IWWCE 2024. Successful Exhibitors will be notified by email and invoice for the balance rental will be issued and sent to respective Exhibitors.

  7. The Organiser will communicate via email to the selected Exhibitor to complete the registration and proceed with the deposit to secure the Exhibitor booth.

  8. Booth space and balance payment must be confirmed and settled before 1st January 2024..

  9. Booth location confirmation will be on First Come First Serve after full payments are made.

  10. All payments MUST be made to the official payment gateway/platform as provided in the Exhibitors’ Registration form. Payments made to other persons/other channels will be at your own risk and the Organiser will not be responsible for any lost payments.
Registration Deposit / Performance Bond
  1. Two (2) upfront payments (deposits) will be collected upon registration of Booth rental booking:
    1. Booking & Publicity Deposit of RM1,500.00 per booth (will be deducted as part of the Rental); and
    2. Refundable Deposit: RM500.00 per booth (Refundable within 14 days after the event and after confirmation that Vendor has complied with all the Terms & Conditions*)

  1. Unauthorized booth sharing will result in the forfeiture of the RM500.00 refundable deposit.

  2. All booths must be set up and ready for operations by 9.30am on the exhibition days. Late set ups without a valid reason will result in a penalty of RM300.00 per day from the refundable deposit.

  3. Any non-compliance to any of the Terms & Conditions stated within Exhibitor Kit will result in:
    1. Forfeiture of refundable deposit;
    2. Blacklisting from participating future events; and
    3. Compensation for damages caused (if any)

Organiser's Promotional Activities
  1. Exhibitor’s logo featured in the main event website and linked back to official Exhibitor website/socmed.

  2. Two (2) minutes feature video/interview for Platinum Sponsors & will be featured in Organiser’s official social media channels, linked to main event website & featured on the event day. Interview will be done by Organiser.

  3. One (1) minute video feature for Diamond Sponsors & will be featured in Organiser’s social media and on event day. Video provided by Sponsors.

  4. Social Media blasting as per count down schedule.

  5. Open workshop/session in expo hall (apply to provide and subject to final decision by Organiser).

  6. First 100 Exhibitors to sign up will get free promotional blasting of their intro videos in Organiser’s official social media channels.

Cancellation Term
  1. Any cancellation prior to 1st March 2024 and after full payment is made, the Booking & Publicity Deposit will be deducted and balance received will be refunded.

  2. Penalty for last minute cancellation (from 1st March 2024 onward) will be ‘Full Rental amount’ and no appeals will be entertained.
Company Logo & Bio
  1. Once Exhibitors registration are successful and confirmed, the Organiser will proceed to collect Exhibitors’ Logo, short Bio and Website Link and these will be listed in the IWWCE website and announcement will be made in Organiser’s Social Media channels and any relevant advertising networks.

  2. Company logo may be submitted as vector file and company bio may not exceed 300 words.

  3. For the first 100 exhibitors confirmed, short video clip about respective exhibitors will be collected and will be uploaded into Organiser’s Social Media channels.

Move-In & Construction Limitations
  1. Exhibitors are fully responsible to design and decorate their own rented booth space in line with their own registered products/services. For any special designs or customised designs that require the support of external contractors, Exhibitors may refer to our event’s authorised Event Production Specialist (Sounds Tech Production Sdn Bhd). Please find their details in the Contact Information tab above.

  2. Exhibitors are encouraged to bring their own additional fixtures and furniture. However, all fixtures, products and decorations must be contained within the allocated booth space & height and must not interfere with walking pathways. Walking pathways must be clear at all times.

  3. Exhibitors must ensure decorations/fixtures are secure. Any negligence on the part of the Exhibitors will be at their own cost and responsibility. Any damages/injuries caused to the visitors at the event due to the Exhibitors’ negligence will be fully and wholly liable by the Exhibitors.

  4. Exhibitor and their affiliates are liable for any damage cause to building, floor, walls, columns, and to standard exhibit equipment.

  5. Exhibitors must ensure that they will not practice any action that will damage, deface or dirty the original conditions of the event area. Should there be any damage – including, but not limited to, defacing and dirt – Exhibitors will be fully & wholly liable to compensate the owner of the property, which is Sabah International Convention Centre (SICC).
Security & Safety
  1. The Exhibition Hall will be locked during non-Exhibition hours. Security is provided for the building and the exhibit hall in general but not for the individual booth spaces.

  2. Exhibitors are responsible for their own valuables throughout the event. The Organisers will not be responsible or held liable for losses and damaged items.

  3. Exhibitors are allowed to keep their things in the exhibition hall overnight however, Exhibitors are not encouraged to keep any valuable things overnight. All things kept overnight are at the Exhibitors’ own risks.

  4. Exhibitors will not be allowed to enter the Exhibition Hall during non-show hours without consent from the Organiser.

  5. Exhibitors must ensure decorations/fixtures are secure. Any negligence on the part of the Exhibitors will be at their own cost and responsibility. Any damages/injuries caused to the visitors at the event due to the Exhibitors’ negligence will be fully and wholly liable by the Exhibitors.

Announcement / Messages

Announcements/messages (such as happy hour, special sale, etc) can be made via Exhibition Hall emcee with permission from the Organiser’s authorized personnel-in-charge.

Advertisements, Sales Activities & Presentations
  1. Exhibitors are to confine all products/service demonstrations and other sales activities such as distribution of material to the limits of their respective exhibit space and maximum height set.

  2. The use of games of chance, lottery devices, musical instruments and other sideshow practices is permitted with written permission of the IWWCE 2024 Organiser.

  3. Noisy demonstrations may be restricted or prohibited after permission if such demonstrations are considered a disruption to the general order of the event.
Giveaways

Giveaways should be educational in nature and must be pre-approved. Please get in touch directly with IWWCE 2024 Organiser.

Non-Smoking

Smoking, including e-cigarettes, is prohibited in Sabah International Convention Centre (SICC) at all times.

In-Booth Catering

The venue has in-house restaurant (Meranti Café) that serves delicious fusion menu.

Cleanliness
  1. Dustbins turn-down services will be provided on a daily basis.

  2. Exhibitors are responsible for keeping their booths clean at all times.

  3. Exhibitors must ensure that they will not practice any action that will damage, deface or dirty the original conditions of the event area. Should there be any damage – including, but not limited to, defacing and dirt – Exhibitors will be fully & wholly liable to compensate the owner of the property, which is Sabah International Convention Centre (SICC).
Move-out & Removal

Dismantling of exhibit fixtures and décor may only commence at the last day of the event after the end of the event til 6pm the next day 10th June 2024. IWWCE 2024 Organiser reserves the right to charge the exhibitor penalty fee if this clause is violated.
